Privacy Policy
1. Who this policy covers
This Privacy Policy applies to collabplanet.studio (the marketing site) and app.collabplanet.studio (the Collab Planet application). Collab Planet is operated by Collab Planet LLC. If you have questions about this policy, contact us at hello@notify.collabplanet.studio.
2. Information we collect
2.1 Information you provide directly
- Waitlist / early access: if you join the waitlist from the marketing site, we collect the email address you submit.
- Account creation: when you sign up for the app, we collect the email address and password you choose. Your password is never stored in plain text — it's protected using industry-standard hashing.
- Username and profile: once approved for beta access, you choose a public username and may add profile information (such as a display name, bio, disciplines, or portfolio content) that you control.
- Project and collaboration content: anything you upload or create inside a project — files, versions, comments, tasks, approval decisions, and chat/direct messages with collaborators.
- Feedback and Ideas: if you submit feedback, bug reports, or feature ideas inside the app, we store the content of what you submit (and, for admin purposes, may store internal notes attached to your submission that are not shown to you).
- Real-time sessions: if you join a live audio/video collaboration session inside a Project Room, your session's audio/video stream is processed for the duration of the call in order to connect you with your collaborators. See Section 4.
2.2 Information collected automatically
- IP address: when you submit the waitlist form, we log the submitting IP address, used only to apply a short-term rate limit against automated abuse of the waitlist.
- Standard request/server logs: our infrastructure generates standard operational logs (e.g., request timestamps) in the ordinary course of running the service. These logs are used only for security, performance, and debugging purposes, and are kept for a limited period consistent with that purpose.
- Cookies and similar technologies: the app itself does not use cookie-based tracking for your session — sign-in is handled with a browser-local session token (not a tracking cookie). The marketing site does not load any analytics, advertising, or tracking scripts either — it's a static page with no third-party trackers.
3. Public vs. private information
Collab Planet is a collaboration product, and some information is intentionally public once you're in beta:
- Public by design (once you choose to make them visible): your username, public profile, and any project or post you explicitly mark public or share to Discovery are visible to other visitors, including people who are not logged in.
- Private by default: your email address, your account settings, unpublished/private projects, project chat and direct messages, tasks, and approval history are visible only to you and, where relevant, the specific collaborators you've invited to that project.
You control what you choose to make public. If a project or profile isn't marked public, it isn't discoverable or visible to other users.
4. How we share information
We do not sell your personal information. We work with a small number of trusted service providers who help us operate Collab Planet, and we share information with them only as needed to provide the service:
- Infrastructure providers — our database, authentication, and file storage are operated by trusted infrastructure providers. All account, profile, and project data is stored on this infrastructure.
- Hosting and delivery provider — used to host and deliver the marketing site and app to your browser.
- Real-time communications provider — used only when you actively join a live Project Room session, and only for the duration of that call.
- Email and account-communications provider — when you join the waitlist, create an account, get approved for beta, receive an unread-message notification, or receive a project invite, your email address (and, for account-linked events, an internal account identifier) is sent to this provider so it can send you the related transactional email and manage your place in our onboarding/lifecycle communications. This is currently the main way Collab Planet emails you about your account.
We may also disclose information if required by law, or to protect the rights, property, or safety of Collab Planet, our users, or the public.
5. How we use information
- To create and secure your account, and authenticate you.
- To operate core product features: projects, collaboration, messaging, live sessions, feedback, and Discovery.
- To manage the beta program: waitlist position, beta approval, and the Beta Agreement you accept before gaining full access.
- To send you account-related and transactional email (verification, waitlist confirmation, approval notice, unread-message and invite notifications).
- To maintain the security and integrity of the service, including rate-limiting abuse and enforcing our Terms.
6. Data retention
Freezing your account deactivates it without deleting anything, so your data is preserved if you decide to come back. Deleting your account starts permanent removal of your personal account data, which we complete within 30 days of your deletion request.
7. Your choices
- Profile visibility: you control whether your profile and individual projects are public or private.
- Account deletion or freeze: the app provides a real, working "Delete Account" flow in Settings that lets you either freeze or delete your account.
- Communications: non-essential email (such as product updates and announcements) includes an unsubscribe link you can use to opt out at any time. You can't opt out of essential account and security email (such as password resets or security alerts), since these are necessary to operate your account.
8. Security
Access to your data is enforced with row-level database security policies, so that, by default, only you and your explicit collaborators can see your private project data. Administrative actions on the platform require a second authentication factor (multi-factor step-up) before they can be performed. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children's privacy
Collab Planet is intended for users who are 18 or older, and it is not directed to children. We do not knowingly collect personal information from anyone under 18. We don't currently verify age at signup — if you believe someone under 18 has created an account or given us personal information, contact us at hello@notify.collabplanet.studio and we'll take steps to remove it.
10. Changes to this policy
We may update this policy as the product changes, especially as it moves from closed beta toward general availability. We'll update the "Last updated" date above when we do, and for material changes, we'll also aim to notify active users directly, such as by email.
11. Contact
Questions about this policy or your data can be sent to hello@notify.collabplanet.studio.
